What we do with what you send us

Written to be read, not to be scrolled past. If something here is unclear, call us and ask — that is a faster answer than a lawyer's.

What this site collects

The contact form asks for your name, your email address, a phone number if you choose to give one, and whatever you write in the message. That is all of it. There is no account to create, no password, and nothing you have to sign up for to read any page here.

What you submit is emailed to the firm through our own Microsoft 365 tenant and lands in a firm mailbox. It is not routed through a marketing platform, a form vendor or a third-party inbox, and it is not added to a mailing list.

Our servers keep standard request logs — the kind every web server keeps. We do not run advertising trackers, we do not sell or rent anything about you to anybody, and there is nothing on this site that follows you to another one.

The newsletter, if you sign up for one

The monthly email is the one thing on this site you can be added to, and it only happens if you ask. Type an address into the form and nothing starts: we email that address a link, and the subscription begins when somebody clicks it from inside that mailbox. Somebody typing your address in here does not subscribe you.

We store the address, which language you picked, and the dates you joined and left. That is the whole record — no name unless you volunteer one, no company, no IP address. The list lives in a database in our own Cloudflare account. It is not handed to a marketing platform, and it is never sold, rented or shared.

There is no tracking pixel in the email. We do not record whether you opened an issue or what you clicked, which means we genuinely cannot tell you who read what.

Every issue carries a one-click unsubscribe and it takes effect immediately — no confirmation page and no survey. After that the address goes onto a do-not-send list and stays there, which is the one record we keep on purpose after you leave: it is what stops you being added back by accident.

If we are already your accountants, leaving the newsletter changes nothing else. We will still email you about your own file, because that is the engagement rather than a mailing list.

How long we keep it

A message that does not become an engagement is kept for up to twelve months and then deleted. We keep it that long for a practical reason: people write once, go quiet, and come back in the spring.

If you do become a client, your correspondence becomes part of the engagement file, and that is governed by our professional record-retention obligations rather than by this page — generally seven years.

You can ask us to delete your message at any time. Email the firm and we will do it, and we will tell you when it is done.

Sending us files

Do not attach tax documents to the contact form and do not email them unencrypted. The form is for a message, not for a return, a W-2 or anything carrying a Social Security number.

Use the Send a file link instead. It goes to our secure file drop, which is a different system from this website and carries its own protections.

Nothing here is advice

Everything on this site — the service descriptions, the Tax Center dates, the guides, the examples — is general information published for a general audience. It is not tax, legal, accounting or investment advice, and it is not a substitute for a conversation about your own situation.

Reading this site does not make us your accountants. A client relationship begins when both of us have signed an engagement letter that says what we are doing, and not before. Until then, nothing here creates a duty on our side or a protection on yours.

Deadlines move. Congress moves them, Florida moves them, and the IRS postpones them for whole counties after a storm — which in this state is not hypothetical. Every date in the Tax Center carries the source it came from and the day it was verified. Check it against your own facts before you rely on it.

Links to other sites

Where we link to the IRS, the Florida Department of Revenue, Sunbiz or anyone else, we are pointing you at the source so you can read it yourself. We do not control those sites and we are not responsible for what they say or how they handle your information once you are there.

Who we are, and reaching a person

Palacio, Palacio & Zimmerman LLC is a Miami accounting firm. Our staff are CPAs, enrolled agents, and other tax and accounting professionals. Attest engagements (audits, reviews and compilations) are performed and signed by PPZ Assurance & Advisory LLC, a licensed certified public accounting firm. Our address and telephone number are on the Contact page and at the bottom of every page on this site.

If you want something deleted, want to know what we hold, or think something on this site is wrong, telephone the office. We would rather fix it than have it sit there.

Rather just ask a person?

Call and a person picks up. Send a note and a person reads it. Either way it reaches somebody at the firm, not a queue.
